Optimizing Workflow and Scheduling: DMC Production’s Journey with Crewbrain

About the company: DMC Production is a global media production company specializing in high-quality broadcast and digital services for sports events and live broadcasts. Catering primarily to broadcasters, sports federations, and media rights agencies, the company leverages state‐of‐the‐art remote production technologies and centralized production centers to deliver multi-camera live events efficiently. Founded in 2016, DMC Production focuses on optimizing workflows to reduce costs, minimize travel, and lower environmental impact, making it a leader in innovative, sustainable broadcast solutions.

After about two years of using Crewbrain, DMC Production has experienced a successful progression in building a scheduling tool that works for us. In collaboration with the Crewbrain team, we have come to solutions and created a setup that not only gives our freelancers a good overview, but also helps optimize workflow. After navigating the startup settings, which in our case did not fully extend to our needs, we received help from Crewbrain with a few extra additions. Although we still have a long way to go to reach the perfect tool, Crewbrain has helped us a great deal along the way.

What Has Changed for You with the Introduction of Crewbrain?

Easy Access for Freelancers: Crewbrain provided an easy way for freelancers to log on to a platform via a mobile app to see all information in one place.

Streamlined Planning: We eliminated planning via email and spreadsheets to some extent, allowing us to send notifications, traveling info, and job details directly via Crewbrain.

Centralized Information: Through additional data and notes, we have gathered all information in one place, allowing both employees and freelancers to see only the necessary parts of each job’s information.

Which Modules Are the Key Features for You?

• Calendar and planning tools.

• Additional data features in every job.

• Categories in both vehicles and freelancers.

• The possibility to add subcontractors to see certain details in each project.

• Netsuite and API integrations.

• Invoice reports and billing information per price lists and invoice inserts.

What Added Value Do You Get from These Features?

Time-Saving Calendar and Planning Tools: The ability for freelancers to set availability is a large timesaver for us, as it helps eliminate double requests and bookings.

Consolidated Job Information: Additional data fields allow us to put all relevant information directly in the job. A plus would be if we could separate additional data per project.

Effective Categorization: Categories in both vehicles and freelancers allow us to separate what is needed per job. This great tool opens up for rating and dividing vehicles and people, making it easier to put the right tool in the right job.

Smooth Financial Integration: Invoice reports and billing information allow for a smooth transition between finance and planning.

Do You Use an Interface or the API?

API Integration: We use APIs in both our planning and financial departments. In terms of saving time, our API integrations have been a game changer. We now create all main and subjobs via API. We also extract information from Crewbrain to create production plans and customer logs via API, as well as using external IDs to create invoice reports and link costs directly to our financial plan.

Further Development and Support

We have received good help from support regarding answering our questions, developing our API, and further development. Understandably, our wishes do not always match those of other clients, and what we wish to develop is not always possible. We have received help with many enquiries, but we miss further possibilities to change more settings in the admin backend, which would allow us to create an even more personalized tool.
